This Policy also outlines the choices available to you regarding our use of your personal data and information, the steps we take to safeguard the data, and how you may contact us in case of questions.

We have written this Policy in simple language so you can easily understand our privacy practices, avoiding any complicated legal terms.

Typically, Intellias Global Limited is the company that is responsible for handling and processing your personal data and information under this Policy. However, if you directly interact with another company within the Intellias group (e.g., applying for a job with one of our affiliates), that specific company will oversee your data. You may find the list of such companies and their details here.

This company operates as a “data controller” in accordance with the EU General Data Protection Regulation (“EU GDPR”) and the United Kingdom General Data Protection Regulation (“UK GDPR”), a “personal data owner” under Ukrainian law, a “business” under California law and a “data fiduciary” under India privacy law. Occasionally, its role may vary, depending on applicable laws, but in any case, it retains responsibility for the data processing carried out by Intellias and other authorised persons. The specifics of this role will be outlined and explained in a more detailed privacy notice or another relevant document that pertains to you.

Depending on the processing purposes, we employ various methods to collect your personal data. You may provide it directly to us, such as through our website contact forms or via email. Additionally, we may obtain your data from third parties or external sources, including instances where you have made your data publicly available.

When you engage with our website, related services, social media pages, subscribe to our news and updates, apply for a job within the Intellias group, or participate in our events, we may request various types of personal data. We primarily collect non-public personal data directly from you or your representatives, whether in person, by telephone, or electronically. Occasionally, we may receive your personal data from third parties, such as someone recommending you for potential employment. In such cases, we take reasonable steps to ensure your awareness of the information provided to us by these third parties.

We also automatically collect and store specific types of data related to your usage of our website, including details about your interactions with the content and services available on the site. Like many other websites, we utilize “cookies” and other unique identifiers. Additionally, certain types of data are obtained when your web browser or device accesses our website, as well as other content served by or on behalf of Intellias on various websites and online platforms.

Whenever we collect and process your personal data, we strive to ensure that such actions are exclusively carried out for the legitimate purposes outlined in this Policy. We take measures to ensure that the collected data is not used in any way that is incompatible with these specified purposes.

As such, we use your data for the following purposes:

Additionally, we may process your data for other purposes than those specified above, provided, however, that such purposes are compatible with the ones outlined, or processing for such purposes is necessary to comply with the laws and regulations to which Intellias is subject.

Please note that personal data processed by Intellias is not subject to profiling or automated decision-making.

For the purposes outlined in this Policy, we collect and use the following categories of data:

Intellias operates video surveillance systems, such as CCTV (closed-circuit television) cameras or similar technologies, within its business premises. These systems are used exclusively for staff administration purposes, including identifying individuals in the office, managing access to restricted areas, enforcing health and safety policies, and responding promptly to urgent requests or incidents.

If you are not a staff member, we may still process your image if it is captured on video recordings during your visit, such as for an interview or participation in corporate events.

Our systems are typically installed in the entry point, office reception, or common areas. However, we never install the systems in the workplace, unless strictly required for TISAX areas or projects involving heightened information security risks, nor do we use them in areas considered private, such as toilets, bathrooms, or restrooms. There is always clear and visible signage in place to ensure you are informed that CCTV or other surveillance technology is in use.

The images and other footage captured on CCTV cameras are transmitted to and recorded on hardware hosted within our infrastructure and are, therefore, subject to appropriate security protocols. Access to the data is restricted to trained and authorised personnel only. If the surveillance system is operated by a third party, the data may also be accessed by such third-party’s trained and authorised staff. The recordings are stored for the time necessary for operational purposes, depending on local specifics.

As part of our employee referral program, we may share specific information about the hiring process of potential candidates, such as the stages of the interview and outcomes of hiring decisions, with the employee who referred you. This sharing of information is essential for the effective promotion and implementation of our referral program. Your data will be treated with the highest confidentiality and in accordance with our privacy practices as outlined in this notice.

Intellias collects and uses your personal data mentioned in this notice in compliance with applicable data protection laws and regulations. Please note that such countries potentially may have less strict data protection regulations than those in the EEA or the UK, however, we take all necessary measures to ensure the security of your data in such countries.

Intellias will only retain your data for as long as required to fulfil the purposes for which it was collected, as well as to comply with legal, regulatory, or reporting obligations, resolve disputes, or enforce our agreements. The retention periods vary depending on the type of data, the purpose for its processing, and applicable legal requirements.

For example, data collected during the recruitment process is usually kept for up to 2 years, and up to 4 years for candidates based in Ukraine, unless applicable laws and regulations specify different retention periods. For example, certain jurisdictions may require data controllers to retain your data for a shorter period unless you provide explicit consent for a longer retention period. Conversely, if applicable laws mandate a longer retention period, we will ensure compliance with those requirements. If your employment application is successful, the data gathered during the recruitment process will be retained for the duration of your employment and beyond. In this case, the specific retention periods will be communicated to you in a new privacy notice.

Web-related data is stored for varying durations depending on its nature, such as cookies, which are stored in accordance with their specific expiration settings, and other online interaction data, which are typically deleted after use or anonymised for analytical purposes.

Processing of sensitive data is typically related to your employment with Intellias and compliance with statutory requirements. Accordingly, the retention period for such data is determined by applicable law, which may correspond to the duration of your employment and an additional term specified by applicable law in areas such as taxation, social security, and others. Sensitive data may also be required for security purposes, including compliance with internal and external audit requirements, conducting AML and KYC procedures, and adherence to related laws and regulations, such as those concerning information security. In such cases, the retention period will align with the time necessary to fulfil these legal, regulatory, and operational obligations, or to establish, exercise, or defend legal claims, as applicable. Once the specified retention periods have elapsed, the data will be securely deleted, anonymised, or otherwise processed in accordance with applicable laws and internal policies.

We retain personal data used for marketing purposes for as long as necessary to support our business practices. For direct marketing, we will continue to use your data until you object to or opt out of such processing.
